restrict manual entries to Gl Account 12 Years, 8 Months ago
Dear Guru:

Can you please advice as to how can i achieve this

For the following Accounts 11010 and 23010 , i want

- Do not allow manual entry for accounts with DIV set at 500.
- Do not allow manual entry for any cost centres EXCEPT 901 (Only account 500.000.901.11010.000 and 500.000.901.23010.000)
- Do not allow manual entry for any new cost centres set up. All GST entries should be through AP and AP module.

500.500.182.11010.000
500.500.183.11010.000
500.500.184.11010.000
500.500.801.11010.000

Few options I could think of on top of my head:
1) Move Enter Journal screen (Along with Recurring Journal, Mass Allocation etc) to a separate responsibility. Create Security Rules to implement your restrictions and assign the rules to this responsibility.
2) Create Personalizations on Enter Journal screen to implement the required restrictions.

This is how security rules work:
Lets say you have following values in the value set attached to DIV segment:
500
501
502
503
504
You have following users in your organization:
USER1
USER2
USER3
USER4
Lets say you don't want USER2 to view or use the values 500 and 504 in any transactions.
You will create following security rule on the DIV value set:
SECURITY RULE1
INCLUDE: 000-999 (include all values)
EXCLUDE: 500-500
EXCLUDE: 504-504
You will assign this security rule to the responsibilities used by USER2. You will also enable security at the value set and also at the segment DIV.
Using this concept you can create security rules based on your requirements.
Keep in mind that security rules at implemented on a segment while cross validation rules are implemented on chart of account structure. If more than one segment are involved then you have to create security rules on multiple value sets.

Hi Hasan

Thanks for replying
I was thinking if i define these accounts as Third Party Control Accounts using segment qualifiers then it will restrict the manual entries from GL and it will allow entries from subledgers ..

instead of going thru security rules ..
i know then the cost center thing will not be accomplished

please advice
thanks

* Just a headsup, control accounts could still be used in manual journals via Web ADI.
* The control account restrictions could only be defined for a particular natural account value, not for the full combination.
* You can consider Personalizations to implement any kind of restrictions (either on one segment or on the whole combination) at manual journal entry screen.
